With 30 students, a banquet can be improvised. With 300, any unprepared detail shows at once: a late coach holds up the departure, one wrong room on the rooming list means ten calls to reception, a badly arranged room breaks the evening. That is why everything is done in advance, on paper and in the platform.
Transport: 6 coaches, not one departure
Three hundred people means up to 6 licensed coaches, each with a name list and an escort. The departure is coordinated from the school gate, by the hour, so no one waits in the street. At the destination we handle moving the group to the hotel, not everyone on their own.
Accommodation: 6 floors reserved + a rooming list
We book hotels that can house the whole group in one place — in practice, up to 6 floors blocked for the year group. The rooming list (who stays with whom, on which floor) is ready before departure, so the check-in of hundreds of people takes under an hour, not a whole evening. The same for check-out, on departure day.
On site: staff + 40 teachers
Around 40 teachers accompany a year group of this size, and the ROJU team works with them: the seating, the evening programme, the special moments and the liaison with the hotel are ours. At least two ROJU agents stay with the group around the clock.
